Office Administrator REPORTS TO:
Human Resource Manager POSITION SUMMARY The Office Administrator is the first point of contact for clients and visitors and must present a professional image every day.
Provide administrative support to the organization.
Responsibilities include greeting and directing visitors, operating the phone system, processing mail, ordering supplies, and light housekeeping functions.
Prepares correspondence, spreadsheets, and reports as requested.
ESSENTIAL DUTIES AND RESPONSIBILITIES - Other duties as assigned.

, prepare/compose correspondence, spreadsheets, update database, form development, update directory, email, copy, file, sort, fax, and schedule meetings as requested).
Greet and assist visitors, notify employees of arrivals, etc.
Operate phone system.
Answer, route and take messages from incoming callers.
Process outgoing mail; weigh and post packages (and misc.
UPS shipments).
Drive to USPS to pick-up mail.
Distribute mail and packages.
Assist management with scheduled luncheons, meeting arrangements, run errands as needed.
Organize process for group greeting cards (sympathy, holiday), sending flowers, and purchasing gift cards as requested.
Purchase office supplies, assist employees with spring/fall and misc.
clothing orders.
Order and stock conference room refrigerators with soda/water.
Monitor coffee service and order supplies.
Perform light housekeeping (stock copy machines with paper, monitor kitchen, coffee room, conference rooms and lobby, to ensure the office is neat and clean).
Organize company events, (i.
e.
, company picnic, blood drive, and breakfast/luncheon).
Assist employees with travel arrangements as requested.
Assist employees with special projects as requested.
EMPLOYMENT
Qualifications Education:
Associate of Business or related field (preferred).
Experience:
Two (2) plus years' experience as an administrative assistant.
Certificates, Licenses & Registrations:
N/A KNOWLEDGE, SKILLS, & ABILITIES:
Knowledge :
MS Office Suite software, Outlook, Office 365, Lync, printers, copy machine functions, purchasing, general office practices and procedures, phone systems operations, and postage (UPS) processes.
Skills/Ability :
Proficient in the use of MS Office Suite applications, Outlook, and database software.
Must be organized and detail-oriented, with the ability to multi-task.
Excellent phone etiquette with a good understanding of switchboard operations.
Excellent oral and written communication skills required.
Practice good attendance and punctuality.
Professional, with a positive attitude and good work ethic.
Must be able to work independently with minimal supervision.
